Responsibilities:
- Efficiently manage and update executive calendars, scheduling appointments, meetings, and conferences.
- Draft and prepare various legal documents, including contracts, agreements, briefs, and correspondence, ensuring a meticulous focus on detail and precision.
- Oversee and facilitate the flow of documents, ensuring timely review and signature of legal paperwork.
- Conduct in-depth legal research, compile pertinent information to support attorneys in forming case strategies and making informed decisions.
- Organize and coordinate meetings, conferences, and presentations, handling logistics, materials, and post-event follow-up actions.
- Prepare expense reports, manage billing and invoicing, and maintain budget tracking for the legal department.
- Handle confidential and sensitive information discreetly and with the highest level of professionalism.
- Assist in generating reports, presentations, and conducting data analysis as needed.
- Undertake general administrative tasks, encompassing filing, record keeping, and office supplies management.
Qualifications:
- Associate’s degree in paralegal studies, a related field, or equivalent experience.
- 2-3 years of experience in roles such as executive assistant, legal assistant, or a similar position, preferably within a legal context.
- Proficiency in MS Office Suite and legal software applications.
- Strong organizational and time management abilities, with the skill to effectively prioritize tasks.
- Outstanding written and verbal communication aptitude.
- Exceptional attention to detail, capable of delivering precise work within tight deadlines.
- Proactive and resourceful, with a knack for anticipating needs and taking initiative.
- Professional demeanor and robust interpersonal skills for interactions with both internal and external stakeholders.
- Familiarity with legal terminology and processes is a plus.
